How to compress a PDF to 1 MB or less on Android

Application portals and government forms often cap uploads at 1 MB, 500 KB or 200 KB. ViaPDF has no box for a target size. It shows the real new size at each level, so you step down until the file fits.

Why portals set limits this small

Job application sites, visa and immigration forms, school admissions pages and government upload portals often set their own caps, such as 1 MB, 500 KB or 200 KB. The number usually comes from the server or the form builder, not from the document. A scan that went through as an email attachment can still be turned away at the upload step. The fix is a lighter file, not a different document.

What ViaPDF can and cannot do with a target size

You cannot type 500 KB into ViaPDF and get a file that size. There is no target field. What you can do is compress at one level, read the Compressed size on the card before you export, and try a smaller level if the number is still over your limit. The result depends on what is inside each PDF, so the same level can land at very different sizes on two files. No level is guaranteed to reach a given number.

The order to try

  1. Compress at Medium, read the Compressed size, and check it against your limit. If it fits, you are done.
  2. If it is still over, switch to Small and tap Compress again. If the card says Already as small as it gets, go to the next step.
  3. If colour is not needed, run Grayscale on the file, then compress the Grayscale.pdf it creates. Grayscale does not promise a smaller file, so read the size card again.
  4. If the form only asks for some pages, extract those pages first, then compress that shorter file.

The level-by-level explanation is in compress a PDF on Android. If the file is headed for an inbox rather than a form, the shorter route is in reduce PDF file size for email.

What to expect from scanned and text PDFs

Scans shrink the most. A phone photo of a paper form is one large image per page, and Compress rewrites each page at a smaller size. A PDF that is mostly typed text, such as a letter or a report exported from a word processor, is already small and may barely change. Check the card before you assume the file will shrink.

Be realistic about 200 KB. For a scan, 200 KB is a fair target only for a page or two. For 500 KB and 1 MB, a short scan or a text-heavy file can fit. For a long scan, the reliable lever is extracting the pages the form asks for, then compressing that shorter file.

Read the rule on the form. Some portals limit each file. Others limit all attachments together. Check the wording before you compress, so you know which number you are aiming for.

Compress a PDF to 1 MB or less FAQ

Can I type an exact target size?

No. ViaPDF has no field for a target like 500 KB. Pick a level, tap Compress, and read the Compressed size on the card. If it is over your limit, pick a smaller level and compress again, or extract fewer pages first.

Can I get a file under 200 KB?

Sometimes, and usually for a short document. A page or two of a simple scan may get there. A long scan often will not, so extract the pages the form asks for first. Check the card, since the result depends on your file.

Is my file uploaded?

No. Compression runs on your phone. The file leaves the device only when you tap Save or Share.

Why is the compressed text not searchable?

Compress writes each page as an image, so the text in the new file cannot be selected. If the form needs searchable text, run OCR and tap Save searchable PDF, then check the size card again.
